Request for Nominations, Motions & Proposals for the  Annual General Meeting 2023

Notice is hereby given that the Annual General Meeting of Athletics Northern Ireland will be held at 7.00pm on Thursday 26th October 2023, venue to be announced shortly.

The meeting will be in person, however voting by Proxy is permitted.

Pre-AGM webinar

We will be hosting a pre-AGM webinar for our members on Tuesday 10th October 6:30pm to 7.30pm.

This will provide attendees with the opportunity to hear from and ask questions of our CEO and representatives of the Athletics NI Board of Directors in relation to the governance project, our new sub-committees and the new Articles of Association.

Members are invited to pre-submit questions in advance of this session.

The link to register for the pre-AGM webinar will be circulated in due course.

 

  1. Nominations of Motions and Proposals

In accordance with the Articles of Association, Clubs are invited to submit their motions and proposals to Athletics NI by 5pm on Monday 25th September 2023.

Nominations must come from representatives of affiliated clubs of Athletics Northern Ireland and should be emailed to companysecretary@athleticsni.org  

 

  1. Nominations of President and Vice Presidents

Nominations for President and two Vice-Presidents are due.

Nominations for the positions of President (x1) and Vice Presidents (x2) should be made by 5pm on Monday 25th September 2023.

Nominations must come from representatives of affiliated clubs of Athletics Northern Ireland and should be emailed to companysecretary@athleticsni.org

 

  1. Nominations for appointment to Sub-Committees

Appointments to the following Sub-Committees are due*:

  • Audit & Risk Committee;
  • Competition & Events Committee;
  • Development & Participation;
  • Endurance Committee;
  • Performance Pathway Committee;
  • Selection Committee; and
  • Track & Field Committee

As announced at the 2022 AGM, the Board has been working to create a new and broader committee structure. The additional committees will greatly benefit our sport and better support our athletes, clubs and staff. Terms of reference for each committee are being finalised and will be published in advance of the AGM.

In order to maximise the opportunities for a diverse pool of members to participate in our committees, and participate in the governance of our sport, the Board is seeking expressions of interest from anyone wishing to support our sport and act as a member of our Sub-Committees.

Our current Articles do not stipulate a formal election process for our sub-committees and the Board propose the discontinuance of an election process that appears to have been created informally and which has been disapplied in practice for some time as the membership have voted consistently to accept all interested individuals as committee members.

We therefore invite all willing individuals to notify the Board of their interest in being appointed to our committees, with details of their preferences for joining any particular committees, noting any skillsets that may be required.

The Board will consider all responses received and will use our best endeavours to accommodate all preferences. In order to ensure a broad and diverse membership with strength and depth of skills, we may ask individuals to accept nomination to a different committee from their preference. All individuals will be asked to accept nomination to the final committee structure proposed.

*The Board and the CEO will be considering the effectiveness and operation of the new committee structure throughout the year. Additional or alternative committees may be created from time to time as contemplated in the governance consultation document dated December 2022.

  1. AGM Communications

Formal accounts and AGM papers will be issued w/c 5th October 2023.

We will communicate any updates to the AGM arrangements via our website www.athleticsni.org & Social Media. Members are advised to check our website for the most up to date position.

Registration will be available on our website. We look forward to seeing as many people as possible at the event.
