Request for Nominations, Motions & Proposals for the Annual General Meeting 2020

The Board recognise that the AGM is valued as an opportunity for members to engage with and hear from the Board and we will do what we can within the confines of the government restrictions to support this principle. In order to arrange an appropriate venue, we ask all members who wish to attend to let us know no later than 5pm on Wednesday 28th October 2020. Given the ongoing restrictions we cannot guarantee that anyone who has not registered in advance will be permitted entry.

Instead of attending in person, members are strongly encouraged to exercise their votes by submitting their proxy electronically or by post. To ensure their vote counts, members should appoint the Chair of the AGM (and not another named person) as their proxy.

In addition, if a member has a question that they would have raised at the meeting, we would ask that the question be submitted by email. Full details on registering a proxy or asking a question will be available in the Notice of AGM which will be issued no less than 28 days before the AGM.

We will continue to monitor any changes to government guidance over the coming weeks and will adapt our AGM arrangements accordingly. We will communicate any updates to the AGM arrangements via our website www.athleticsni.org. Members are advised to check our website for the most up to date position.

Register Attendance

*Please note only Registered Members of Athletics NI can attend the AGM. Athletics NI Affiliated Clubs are allocated voting representatives based on the number of registered members.

Election of President and Vice Presidents

• Nominations for the positions of President (x1) and Vice Presidents (x2) should be made by 5pm on Wednesday 14th October
• Nominations must come from affiliated clubs of Athletics Northern Ireland and should be emailed to Kerry Woods, Director of Business & Operations at kerry.woods@athleticsni.org

• Nominations for positions on the Track & Field and Road Running Sub-Committees (10 per committee) should be made by 5pm on Wednesday 14th October
• Nominations must come from members of affiliated clubs of Athletics Northern Ireland and should be emailed to Kerry Woods, Director of Business & Operations at kerry.woods@athleticsni.org

Nomination of Motions or Proposals

• Motions or proposals to be placed on the Agenda of the Annual General Meeting should be made by 5pm on Wednesday 14th October
• Nominations must come from affiliated clubs of Athletics Northern Ireland and should be emailed to Kerry Woods, Director of Business & Operations at kerry.woods@athleticsni.org
